Who we are
Mahanaim Educational Institute (MEI) is a tutorial-based college in Nairobi, Kenya. We are the data controller for the information described here. You can reach us through the contact page.
What we collect
When you create an account: your name, email address, phone number and a password, which is stored only as a secure hash.
When you apply: your date of birth, gender, citizenship, national ID or passport number, county and location, the programme and intake you want, your previous schools, a passport photograph, and the details of whoever is paying your fees. If you pay the application fee by M-PESA we record the transaction code you give us; if by bank, the slip you upload.
When you are a student: your admission number, class and intake, fee invoices and payments, unit registrations, attendance, examination results and progress through your programme. If you are issued a gate card, each check-in at the gate is logged.
Why we use it
To assess your application and admit you; to raise invoices, receive payments and issue receipts; to register you on units, record attendance and results, and produce transcripts and certificates; to run the fees gate; and to contact you about your application, fees, classes and results by email and SMS.
We do not sell your information or use it for advertising.
Your sponsor
If a parent, guardian or sponsor is paying your fees, we hold their name and contact details so we can send them fee invoices and reminders. Once you are admitted, we also notify your sponsor by SMS or email when you check in at the gate and when you are marked present in class. Tell the Admissions Office if your sponsor's details change.
Who sees it
Only MEI staff whose role requires it: admissions officers see applications, finance staff see invoices and payments, lecturers see the students in the units they teach, and heads of department see their own school. Every decision and payment is recorded against the staff member who made it.
We use service providers to deliver email and SMS and to host the system. They process your information on our instructions and for no other purpose.
How long we keep it
Applications that are not admitted are kept for the current admissions cycle so you can apply again without starting over. Student records, results and financial records are kept for as long as the institute is required to hold them, because they underpin your transcript and certificate.
Your rights
You can ask to see the information we hold about you, have it corrected, or, where we no longer need it, have it deleted. You can change the details on your own account at any time by signing in. To exercise any of these rights, contact the Registrar's office.
Changes
If we change how we handle your information we will update this page and the date at the top.
